The ShareBuilder Assistant is expanding its intake and response-management ecosystem with a Connector that brings Google Forms into the Assistant Skills platform. With the Google Forms Connector, media teams can create a starting point for new forms, find and inspect existing forms, bring submitted responses into connected workflows, and keep requests moving across CRM, sales, marketing, production, and operations.
About Google Forms
Google Forms is an online form and survey tool in Google Workspace. Teams can create questionnaires, quizzes, registrations, and other structured intake experiences, share them across devices, collaborate on the form, review response summaries, and connect response data to Google Sheets.
For media organizations, Google Forms can support advertiser onboarding, campaign and creative requests, event registrations, sponsorship intake, sales-support requests, internal approvals, employee surveys, customer feedback, and other processes that begin with structured information from a person.
This is the Google Forms Connector
The Google Forms Connector brings selected Google Forms API and Google Drive operations into Assistant Skills.
The current connector is action-based. It can create a blank form, find forms accessible to the connected account, retrieve a form’s structure and settings, list submitted responses, update basic form information, move a form to trash, and make an authorized Forms API request for advanced needs. It does not include Google Forms triggers, so workflows begin from another event, a schedule, or a manual step.
Create a consistent starting point for intake
Create Form creates a new Google Form with a required title and an optional Drive document title. It returns the form ID, responder URL, form information, settings, revision ID, items, and publishing state for later workflow steps.
A Skill could create a clearly named form when:
- a new advertiser or agency needs to provide onboarding details
- a sold campaign is ready for creative or production intake
- a station launches an event, promotion, or sponsorship opportunity
- an internal team opens a standardized request or feedback process
The guided action creates an empty form shell. It does not add questions, sections, answer choices, quiz settings, images, validation rules, or branching logic. Those elements must be added in Google Forms or through a separately designed advanced API call. Teams should also review publication, responder access, and sharing settings before distributing the form.
Find and understand the right form
Find Forms searches Google Drive for Google Forms accessible to the connected account and can narrow results by name. It returns form IDs, names, links, ownership, sharing state, modification details, and available file capabilities.
Get Form retrieves the selected form’s title, description, questions and other items, settings, responder URL, linked response sheet when present, revision ID, and publishing state.
These actions can help a Skill locate the correct intake form, capture its responder link, or inspect its current structure before processing responses. Workflows should use the durable form ID because titles can be duplicated or changed.
Move submitted responses into the next step
Find Responses lists responses for a selected form. It can filter by submission timestamp and return response IDs, submission times, respondent email when collected, answers, uploaded-file references, and quiz scoring information when those fields exist.
This can support workflows such as:
- create or update a CRM record from approved advertiser intake
- route a creative request to the correct production team
- turn an internal request into a task with the submitted details
- notify sales or operations when scheduled response processing finds new submissions
- send event, sponsorship, or feedback data into an approved review process
The guided action returns at most 5,000 responses and does not page through additional results. It also does not fire when a response arrives. Recurring workflows should use the timestamp filter, response ID, or another durable checkpoint to avoid processing the same submission more than once. Responses can contain personal information and file uploads, so downstream access and retention should match the purpose communicated to respondents.
Maintain basic form information and lifecycle
Update Form changes a form’s title or description. This is useful when an intake process needs updated responder-facing language while preserving the existing form ID and response history.
Delete Form uses Google Drive to move the selected form to trash. It does not permanently delete the file. A deletion workflow should verify the form ID, owner, title, and current use and normally require human approval.
The guided connector does not rename the Drive document through Update Form, add or remove questions, change quiz or publication settings, manage collaborators, link or unlink a response sheet, retrieve one response by ID, or restore a trashed form.
Connect form intake to media workflows
Forms become more useful when submitted information reaches the systems where the work will happen. Assistant Skills can combine Google Forms with ShareBuilder CRM, email, Microsoft Teams, task management, document storage, approvals, AI services, campaign tools, and other connectors.
A workflow could review responses from a campaign creative-intake form, match the advertiser to a CRM account, create production work, route uploaded files to approved storage, and notify the assigned team.
Another Skill could validate event registrations or sponsorship requests, create follow-up work for the appropriate market, and send an approved confirmation without re-entering each response.
Extend the connector for advanced needs
Make API Call can send an authorized GET, POST, PUT, PATCH, or DELETE request to the Google Forms API. It gives technically managed Skills a path to supported operations that do not yet have a guided action.
Potential advanced needs include adding or updating questions, changing form settings, publishing or closing a form, retrieving one response, or managing response watches. Actual availability depends on the endpoint, OAuth scopes granted to the connection, Google Workspace permissions, API quotas, and any required Google Cloud configuration.
Google Forms watches deliver notifications through Google Cloud Pub/Sub, expire after seven days, and require renewal. They are not a guided trigger in the current connector. Advanced calls should be treated as supported only after their authorization, payloads, outputs, lifecycle, and failure handling have been validated.
Protect respondent data and workflow integrity
Form responses may contain contact details, customer information, campaign plans, uploaded files, employee feedback, or other sensitive data. Workflow owners should use the appropriate Google account, limit access to the forms and responses required for the process, and avoid collecting data that is not needed.
Production Skills should validate required answers, handle changed questions, preserve response IDs and timestamps, prevent duplicates, and provide a review path when a response cannot be matched confidently. API quotas and permission failures should be monitored so intake does not silently stop.
Assistant Skills
Skills are the workflows you train the ShareBuilder Assistant to run for your team. Create a Skill and the Assistant executes playbooks, coordinates processes, updates systems, and communicates across platforms automatically.
Availability
The current Google Forms Connector package supports seven actions: Create Form, Find Forms, Get Form, Find Responses, Update Form, Delete Form, and Make API Call. It does not include triggers.
A Google account and OAuth authorization are required. The connected user must have access to the forms, responses, Drive files, and other resources used by each workflow. Google Workspace administration, sharing rules, OAuth scopes, and API quotas still apply.
The guided connector does not include question or section creation, quiz configuration, publication controls, collaboration and sharing management, linked-sheet management, individual-response retrieval, response submission, watch management, immediate new-response triggers, permanent deletion, restoration, or bulk form updates. Selected supported operations may be reachable through Make API Call after separate technical, permission, and lifecycle validation.
Connector availability within Assistant Skills depends on ShareBuilders installation, testing, OAuth configuration, rollout, and customer enablement. Presence in the upstream connector library does not by itself confirm production readiness for a specific customer.
