ClickUp Connector for ShareBuilder Assistant Skills

The ShareBuilder Assistant is expanding its work-management ecosystem with a Connector that brings ClickUp directly into the Assistant Skills platform. With the ClickUp Connector, teams can turn activity from CRM, forms, communication, and operational systems into structured tasks, then find, update, archive, or delete those tasks as work progresses.

About ClickUp

ClickUp is a work-management and productivity platform that combines tasks, projects, documents, dashboards, chat, goals, forms, time tracking, automation, and reporting in a shared Workspace.

For media organizations, ClickUp can coordinate campaign delivery, creative production, advertiser onboarding, event preparation, traffic and operations work, digital projects, launch checklists, customer follow-up, and cross-team handoffs. The business context for that work often begins in CRM, email, meetings, forms, support systems, or publishing tools rather than inside the task itself.

This is the ClickUp Connector

The ClickUp Connector brings guided ClickUp task operations into Assistant Skills.

Teams can navigate ClickUp Spaces, Folders, and Lists; create tasks and subtasks; search tasks in a selected List; update, archive, or delete tasks; and make an authorized ClickUp API request when an advanced operation is not represented by a guided component.

The current connector is action-based. It does not include ClickUp event or webhook triggers, so workflows should begin from another Assistant Skills trigger, a schedule, a form submission, a CRM change, or an approved process step.

ClickUp organizes work through Workspaces, Spaces, Folders, Lists, tasks, and subtasks.

The connector can retrieve Spaces from the connected account, list Folders in a selected Space, and list root-level or Folder-specific Lists. These actions help workflow builders select the correct location before creating or searching for a task.

A Skill could use the hierarchy actions to:

  • select the correct market, station, department, or campaign Space
  • find the Folder used for a client, event, initiative, or production cycle
  • place work in the correct List
  • distinguish root Lists from Lists contained within Folders
  • retrieve archived Folders when an administrative workflow requires them
  • provide human-readable location choices during workflow setup

The guided Space picker currently retrieves Spaces from the first Workspace returned by the authorized ClickUp account. Workflows that must operate across multiple authorized Workspaces should validate the target carefully and may need an advanced API step.

Create tasks and subtasks from connected work

The Create Task action adds a task to a selected ClickUp List. A List and task name are required.

The guided action can also supply a description, tags, status, priority, start and due dates, date-time behavior, notification behavior, and an eligible parent task for creating a subtask.

A Skill could use this action to:

  • create campaign-launch work after an opportunity reaches the correct CRM stage
  • turn an approved advertiser request into a creative-production task
  • create event-preparation tasks from a form or planning record
  • capture action items from email, meetings, or Microsoft Teams
  • create a follow-up task when a customer or operational issue needs attention
  • break an approved project request into trackable subtasks

The guided action does not assign members. It also does not include guided inputs for custom fields, checklists, attachments, dependencies, time estimates, comments, or recurring-task settings. Those details should not be assumed unless they are handled by a separately validated API workflow.

Find the work that needs attention

The Find Tasks action searches tasks within a selected List and can use a Folder to help select that List. It can filter by assignee IDs, statuses, and tags, and it can order results by task ID, creation date, update date, or due date.

Results can be returned as the first task found, a complete array, one task at a time, or a file. A separate not-found path lets a Skill branch cleanly when no task matches.

That can support workflows such as:

  • find an existing task before creating a duplicate
  • locate overdue or recently updated work for a status summary
  • find tasks assigned to selected team members
  • identify tasks carrying a customer, campaign, or priority tag
  • route an existing task into the correct follow-up workflow
  • generate a task inventory for review or reporting

Searches operate within the selected List rather than across an entire ClickUp Workspace. Cross-List or cross-Workspace discovery requires separate workflow logic or an appropriate advanced API operation.

Update, move, and archive tasks

The Update Task action changes an existing task using its task ID.

The guided action can update the task name, description, status, priority, start and due dates, date-time behavior, notification behavior, parent task, and archived state. Moving a subtask to another valid parent is supported when ClickUp allows the relationship.

A Skill could use this action to:

  • change status after a connected approval or delivery milestone
  • update a due date when campaign timing changes
  • raise or lower priority using approved business rules
  • add current context to the task description
  • move a subtask under the correct parent
  • archive completed or superseded work

ClickUp supports custom statuses, but the guided status selector exposes standard To Do, In Progress, and Complete-style values. Teams with custom status names should test the mapping before rollout or use an advanced API request with the exact valid status for the target List.

Delete tasks through controlled workflows

The Delete Task action permanently deletes the task identified by its task ID.

A Skill could use deletion after duplicate detection, a validated administrative request, or an approved retention workflow. Because deletion is destructive, it should be limited to authorized users and should include confirmation or human approval whenever the task may contain business history, customer context, comments, attachments, or delivery evidence.

Archiving through Update Task is usually the safer option when the team may need the record later.

Use an authorized ClickUp API call for advanced needs

For technically managed workflows, the connector includes an action that can make an authorized request to the ClickUp API using a selected endpoint, HTTP method, headers, query parameters, and request body.

This provides flexibility for supported ClickUp operations that are not available as guided actions, including selected assignee, custom-field, comment, attachment, checklist, dependency, time-tracking, webhook, document, or Workspace-level operations.

Actual availability depends on the ClickUp API, the Workspaces authorized during OAuth, the connected user’s ClickUp permissions, and the target object’s access rules.

Because this action exposes a broader API surface, it should be configured by qualified administrators and tested carefully before it changes live tasks, members, comments, files, or Workspace configuration.

Connect task work with CRM, approvals, and communication

ClickUp becomes more useful when tasks remain connected to the systems where the request and business context began.

Assistant Skills can combine ClickUp with ShareBuilder CRM, forms, email, Microsoft Teams, approvals, publishing tools, support systems, reporting, and other connectors. A workflow could begin when an opportunity is approved, create a ClickUp task with the relevant advertiser and campaign context, notify the delivery team, and later update or archive the task when connected milestones are completed.

Another Skill could find matching ClickUp tasks before creating new work, reducing duplicates and keeping the CRM record linked to the operational task.

This helps teams make handoffs visible without repeatedly copying the same context between systems.

Availability

The ClickUp Connector supports eight authorized actions: Get Spaces, List Folders, Get Lists, Create Task, Find Tasks, Update Task, Delete Task, and Make API Call.

A ClickUp account and OAuth authorization are required. The connected user can only access the Workspaces and work objects authorized through ClickUp and permitted by that user’s role.

The current guided connector does not include ClickUp triggers or guided actions for assignees, custom fields, comments, attachments, checklists, dependencies, time entries, Docs, Goals, Dashboards, Forms, or webhook subscriptions. The advanced API action may support selected operations after separate validation.
